Centralizing Benefits Management Through Increased Partnership with Benefitfocus and Voya 

Our manufacturing client, a global company with 2,500 employees across eight business units in 35 states, has been using the Benefitfocus platform and services for benefits administration, eligibility, and enrollment since 2003. The client employs a mix of salaried and hourly employees, which adds to the complexity of their benefits landscape.  

Initially, they used Benefitfocus primarily for annual open enrollment, with minimal content and HR team oversight. Their benefits program required touches from 35 HR business partners, creating a constraint on their resources.  

With new leadership, the company began to fully utilize the Benefitplace platform and work closely with our experienced team. This shift allowed the 35 HR business partners to focus on their regular responsibilities while benefits administration was handled by Benefitfocus and a dedicated Benefits leader. Over the years, our client has also expanded their partnership with us by adding an employee contact center, billing and COBRA Administration. They have continued to consolidate vendors by working with our parent company, Voya Financial®. Through Voya Employee Benefits they can seamlessly offer Consumer-Driven Health (CDH) accounts and voluntary benefits such as critical illness insurance.

Challenges

Our manufacturing client faced significant challenges in managing a complex benefits landscape:

  • Managing Resource Costs: With 35 HR team members involved in benefits administration, the company struggled to efficiently handle the diverse needs of its workforce. The initial use of Benefitfocus was limited to the annual open enrollment process, lacking robust content and features. This manual, tool-centric approach was not sufficient for delivering a seamless and engaging benefits experience, especially as the company grew.
  • Managing Multiple Vendors: The client spent considerable time and resources managing separate vendor relationships. A centralized, comprehensive platform and service solution was needed to streamline processes, reduce costs and improve employee engagement.

Solution

We worked with the client to enhance their benefits experience, leveraging existing functionalities and freeing up HR to focus on strategic initiatives. The company now leverages the full capabilities of the Benefitplace platform, including a full-service call center, content management, and mobile app support. These enhancements have made it easier for employees to access and understand their benefits, regardless of their location or job type. For instance, the platform can capture personal information and message employees directly, ensuring that even those without corporate email addresses can stay informed.  

The relationship with Benefitfocus has been a major factor in these successes. The company’s leaders emphasize the personal and collaborative nature of our partnership, noting that the transparency and problem-solving approach of the Benefitfocus team have been invaluable. In addition, our client expanded the partnership by implementing billing and COBRA Administration. They have also consolidated vendors by adding solutions like voluntary benefits and consumer-directed health plans offered by Voya Employee Benefits (Benefitfocus is a Voya Financial company). 

The synergy between the Benefitfocus and Voya teams has contributed to the smooth implementation of these solutions and continued client success. This connection has allowed our client to move from a passive, once-a-year enrollment system to a more proactive benefits management approach. They remain committed to leveraging the full potential of the Benefitplace platform to enhance the benefits experience for all their employees.

  • One-third of the company’s HR team members, who previously spent a considerable amount of time supporting benefits, have been relieved of this responsibility.  This has given them time to focus on other tasks.
